5 Signs It's Time to Switch from Spreadsheets to Care Software

Summary

Many Australian NDIS providers start with spreadsheets for rosters, timesheets, and invoice tracking. As participant numbers and staff headcount grow, manual workbooks struggle to handle SCHADS Award penalty boundaries, NDIA support item splitting, worker credential expiries, and NDIS Commission audit evidence. Here are five clear signs it is time to move to dedicated NDIS software.

Sign 1: Roster Changes Are Coordinated by SMS and Phone Calls

When an NDIS provider is supporting five participants with a handful of workers, a shared spreadsheet tab for the weekly roster feels simple and free. The trouble begins as soon as a support worker calls in sick at 6:30 am or a participant asks to move a community access shift from Tuesday afternoon to Saturday morning.

A spreadsheet cannot automatically check which other workers are available at that time, whether their NDIS Worker Screening Check and First Aid certificate are current, whether the extra shift pushes a part-time or casual worker over the 10-hour daily ordinary limit in Clause 28.1 of the SCHADS Award, or whether adding a second short shift creates a broken shift under Clause 25.6. In dedicated NDIS rostering software like Alevora, coordinators see conflicts, credential alerts, and live SCHADS pay and NDIS charge estimates on the shift panel before publishing, and can broadcast open shifts directly to qualified workers’ phones.

Sign 2: Fortnightly SCHADS Payroll Calculations Take All Day

The Social, Community, Home Care and Disability Services Industry Award (MA000100) is one of the most detailed modern awards in Australia. Calculating pay in a spreadsheet requires separate formulas for permanent versus casual loadings (Clause 10.4), weekday afternoon shifts finishing after 8:00 pm (1.125x permanent / 1.375x casual under Clause 29.3(a)), night shifts (1.15x permanent / 1.40x casual under Clause 29.3(b)), Saturday rates (1.50x / 1.75x), Sunday rates (2.00x / 2.25x), and public holidays (2.50x / 2.75x).

Add broken shift allowances ($21.81 for one unpaid break or $28.87 for two unpaid breaks from 1 September 2026), sleepover allowances ($62.87 per night), sleepover disturbance overtime under Clause 25.7(e), and first aid allowances ($0.56 per hour up to $21.43 per week), and a single broken cell formula in a workbook can cause systematic underpayments or overpayments. Alevora’s SCHADS engine calculates these lines automatically from approved timesheets, handles effective-dated pay schedules and contractor summaries, and exports directly to Xero.

Sign 3: Building PRODA Bulk Claim CSVs and Plan-Managed Invoices by Hand

Under the NDIA Pricing Arrangements and Price Limits, the support item code you bill depends on the registration group, the day of the week, the time of day, the participant’s geographic classification (national, remote, or very remote), and whether the support is a standard 1:1 shift, a shared Supported Independent Living shift, or a night-time sleepover.

When finance staff copy hours out of timesheet spreadsheets to build invoices for plan managers or format CSV files for the NDIA myplace provider portal (PRODA bulk payment requests), a single mistyped support item number, registration number, or date format causes claim rejections and delays cash flow. In Alevora, approved timesheets generate plan-managed invoices, self-managed invoices, and PRODA bulk payment CSV files in one workflow, with remittance upload, rejection tracking, and reclaim workflows built in.

Sign 4: Worker Screening and Credential Expiries Live in a Static Tab

Under the NDIS Practice Standards (Core Module 2 — Human Resource Management) and the NDIS Quality and Safeguards Commission’s worker screening rules, providers must ensure every worker in a risk-assessed role holds a valid clearance alongside required police checks, Working with Children Checks, and First Aid certificates.

A spreadsheet only tells you a credential is expiring if someone remembers to open the file and sort the column. Alevora tracks every worker credential against its expiry date, sends automated email and in-app reminders at 60, 30, and 7 days before expiry, and warns coordinators on the roster if a worker’s clearance has lapsed.

Sign 5: Case Notes, Incidents and Budgets Are Disconnected Ahead of Audit

When case notes arrive as emailed Word documents, incident reports sit in a separate drive folder, and participant NDIS plan budgets are tracked in an offline workbook, preparing for an NDIS Commission verification or third-party audit takes weeks of manual cross-referencing.

Modern care software connects every record to the participant profile and shift: workers record structured progress notes you can dictate with your phone’s keyboard and log reportable incidents from the mobile app (even when offline), incidents can raise linked actions in the Continuous Improvement Register, and participants and their nominated family members can view upcoming supports and plan budget drawdown in the free Participant & Family Portal.

How to Transition Off Spreadsheets Without Disrupting Care

Moving from spreadsheets to Alevora does not require pausing operations or running a six-month implementation project. Most providers complete the switch in four straightforward steps over a single fortnightly pay cycle:

  • 1. Import participants and NDIS plans: Set up participant profiles, funding management types (NDIA-managed, plan-managed, or self-managed), digital service agreements, and current plan budgets.
  • 2. Onboard support workers and credentials: Add staff with their employment type, SCHADS classification level and pay point (or contractor schedule), and current screening expiry dates.
  • 3. Build one week of recurring shifts: Create your regular weekly roster templates and SIL house rosters, checking the live SCHADS pay and NDIS charge panel as you go.
  • 4. Run your first verified pay and claim cycle: Have workers clock in and record shift notes on the mobile app, approve the timesheets, and export your first Xero pay run and PRODA bulk claim CSV.
